Payment Options

We accept the following payment methods for our services:

  • Square Payments: Including Apple Pay, Google Pay, and major credit cards.

  • Bank Transfer: Please ensure the transfer is completed before your appointment.

  • Cash: For new clients, a booking fee deposit is required to secure the appointment. The remaining amount can be paid in cash at the time of the session, provided exact change is brought, as no change is kept on the premises. Future appointments can be paid for in cash after the first appointment, following the same exact change policy.

Communication Policy for Branwen’s Holistic Wellness
At Branwen’s Holistic Wellness, we strive to provide the best possible care and support to all our clients. To ensure efficient and effective communication, we have established the following guidelines:

1. Email Communication:

All enquiries, questions, and communications should be directed to info@branwensholisticwellness.com. This allows us to manage and respond to your needs promptly and accurately.

Appointment details, instructions, and follow-up information will be sent via email. It is essential to use email for all communications to ensure you receive necessary information in a timely manner.

2. Phone Calls:

Due to our new work schedule and commitment to client care, we are unable to take phone calls. This ensures that all client interactions are handled without interruption and with full attention.

If you require assistance, please email your enquiries as mentioned above.

3. Appointments:

Appointments can be booked directly through our booking website. This system allows for convenient scheduling and ensures your appointment is confirmed.

4. Response Time:

We aim to respond to all emails within 24-48 hours during business days. Your patience and understanding are appreciated as we strive to provide the best service possible.

5. Urgent Matters:

For urgent matters, please indicate the urgency in your email subject line. We will prioritise and address these emails as quickly as possible.

We appreciate your understanding and cooperation in adhering to this communication policy. By following these guidelines, we can ensure that your needs are met efficiently and effectively.

Consultation Policy
Appointments Only:

All consultations and sessions are by appointment only. We strictly do not accept walk-in appointments. Please book your sessions in advance and ensure you receive a confirmation email.

To book an appointment, please use our online booking system or contact us via email at info@branwensholisticwellness.com.

Appointments must be scheduled at least 48 hours in advance.

This ensures that we can provide each client with the personalised attention and care they deserve.

Appointment Confirmation:

For new clients appointments are only confirmed once all required details (such as full name, email address, date of birth, and phone number and payment of booking fee) are received and a confirmation email and SMS has been sent to you. All clients: If you have not received confirmation by email or SMS your appointment is not confirmed.

If the required details are not provided, the appointment cannot be secured.

Booking Fee Policy
Payment Requirement: A booking fee is required for all appointments booked through the online booking system and for all new clients.

Payment Deadline: The booking fee must be paid within 24 hours of scheduling the appointment to secure your slot. If the booking fee is not received within 24 hours, the appointment will be cancelled, and a new slot will need to be selected.

Compliance with Treatment Plans

For optimal health outcomes, it is essential that clients comply with the recommended treatment plans. Adherence to prescribed dietary adjustments, nutrient supplementation, and lifestyle changes is crucial for achieving desired wellness goals. Your active participation and commitment to the treatment plan significantly contributes to the effectiveness of the naturopathic services provided.

Booking Details

For accurate records and effective service, please ensure that all bookings are made under the correct details of the person receiving the service. This includes appointments for children, which should be booked under their name. 

Cancellation & Rescheduling Policy
We understand that life happens, and schedules can sometimes change unexpectedly. To ensure fairness and accommodate all clients, we kindly request at least 24 hours’ notice if you need to reschedule your appointment. The new appointment date must be at least 48 hours from the original booking to allow for proper scheduling.
If a cancellation or reschedule occurs within 24 hours of the appointment time, a booking fee will be required to secure all future appointments and current booking fee withheld if applicable. This ensures we can fairly manage our schedule and allocate availability to other clients.
Additionally, if an appointment is cancelled or rescheduled again within 24 hours of the new date, the booking fee will be forfeited and retained to cover the lost time and preparation. A new booking fee will be required to book any further appointments.
This policy helps maintain a structured and fair appointment system while respecting the time allocated for each client. We appreciate your cooperation and understanding in upholding this balance.

Lateness: If you arrive late, your session may still end at the scheduled time to avoid inconveniencing other clients.

No-Show Policy: No-shows may also incur a fee to compensate for the reserved time and preparation. After two no-shows, no further treatment will be offered.

Respect and Conduct: We expect all clients to behave respectfully towards the practitioner and the environment. Any form of disrespect or inappropriate behaviour will not be tolerated and may result in termination of services.

Confidentiality: All client information and sessions are kept strictly confidential. Your privacy is important to us and is protected with the highest standards.

Massage-Specific Policies
These services are subject to all general clinic policies, with the following additional notes:
- Health History Form Required: All clients must complete a health history form prior to receiving any massage or bodywork treatment. This ensures your safety, supports personalised care, and helps identify any contraindications. The form will be emailed upon booking and must be returned at least 24 hours before your appointment.
- Health & Safety: Massage may be refused if a contraindication is identified or if the client presents with an infectious illness, skin condition, or any concern that may compromise safety. If you are unsure whether massage is appropriate, please contact the clinic before booking.
- Consent & Comfort: Your comfort is our priority. You may pause or stop the session at any time. Draping and privacy are maintained throughout.
- Minors: Massage services for clients under 18 require a parent or guardian to be present in the room.
- Respectful Conduct: Any inappropriate or sexual behaviour will result in immediate termination of the session and refusal of future services. Service will be refused if the client is under the influence of alcohol or unlawful drugs.
